Rotterdam Asset MGT collects only the data it needs to operate your account, execute investment mandates, and communicate with you. This document explains precisely what that data is, what we do with it, how we protect it, and what rights you hold over it.

What This Policy Covers
We collect data to run your account. Not to sell it. Not to share it beyond what operating the platform requires.

When you create an account with Rotterdam Asset MGT, deposit capital, or contact us, you provide personal and financial information. This policy explains the specific categories of data held, the specific purposes for which each category is used, and the technical and operational measures in place to protect it.

We do not sell, rent or trade your data to third parties. We do not use your data for profiling unrelated to your account. We hold what we need, for as long as it is needed, and no longer. If you want to know specifically what data we hold about you, or you want it deleted — contact us directly.

What Data We Collect

Identity data: full name, date of birth, government-issued identification — collected at account registration for account verification purposes.

Contact data: email address, phone number — used to communicate account status, mandate updates and responses to your support requests.

Financial data: deposit amounts, withdrawal requests, account balance, mandate history — collected as a direct record of your activity on the platform.

Device and access data: IP address, browser type, login timestamps — collected automatically when you access the platform, used to detect unauthorised access and protect your account.

Why We Collect It

Each category of data we hold has a specific, defined purpose:

  • Identity data is collected to verify that account holders are who they say they are and to satisfy the account opening process.
  • Contact data is used to send you account notifications, mandate distribution confirmations, withdrawal updates, and responses to messages you send us.
  • Financial data is maintained as a full record of your account transactions — required to ensure accuracy of balances, returns, and withdrawals.
  • Device and access data is used exclusively for security monitoring: detecting login anomalies, flagging suspicious access patterns, and locking compromised accounts.

How We Store & Protect It

All data is stored on infrastructure protected by SSL/TLS encryption in transit and AES-256 encryption at rest. Account passwords are hashed using a one-way algorithm — they are not readable by Rotterdam Asset MGT staff. Account access is protected by two-factor authentication, which we strongly recommend enabling. Access to your personal and financial data within Rotterdam Asset MGT's internal systems is restricted to staff who require it to operate your account — authentication, transaction processing and support. We do not use your data for internal analysis beyond what is directly relevant to operating the platform.

Who We Share It With

We do not sell, rent or trade your data to any third party. The limited circumstances in which your data may be shared are:

  • Payment processors: transaction data is shared with the payment provider processing your deposit or withdrawal — only the data required to complete the transaction.
  • Identity verification providers: during initial account verification, identification documents may be processed by a third-party verification service under contract with Rotterdam Asset MGT.
  • Competent authorities: where required by a valid legal order directed at Rotterdam Asset MGT, we will provide the data specified in that order and no more.

How Long We Keep It

We retain account data for as long as your account is active. If your account is closed, we retain your transaction and identity records for a period of seven years from the date of closure — this is the standard retention period required to respond to any legal or financial queries arising from transactions completed during the account's active period. After this period, all personal data is permanently deleted from our systems. If you wish to request early deletion of specific data categories that are not subject to this retention requirement, contact us at info@rotterdamassetmgt.com.

Cookies & Tracking

Rotterdam Asset MGT uses cookies for session management (keeping you logged in during an active session), security (identifying your device as a trusted login source) and basic platform analytics (page load times, error logs). We do not use third-party advertising cookies or cross-site tracking cookies. You can disable cookies through your browser settings. Disabling session cookies will prevent you from accessing your account. Disabling analytics cookies does not affect platform functionality. You can manage cookie preferences at any time through your browser settings or our cookie preferences panel.

Your Rights

Six Rights Over
Your Personal Data

You hold specific, exercisable rights over the data we hold about you. To exercise any of these rights, contact us at info@rotterdamassetmgt.com. We respond to all requests within 14 days.

Right of Access

Request a complete copy of all personal data we hold about you. We will provide this in a structured, readable format within 14 days of your request.

Right of Rectification

Request correction of inaccurate or incomplete personal data. Contact us with the specific data point to be corrected and the accurate replacement.

Right of Erasure

Request deletion of personal data we hold about you, where no legal retention requirement applies. Data subject to our seven-year retention period cannot be deleted early.

Right to Restrict Processing

Request that we stop processing your data for purposes beyond what is strictly required to maintain your account — for example, stopping analytics data collection.

Right to Data Portability

Request your transaction and account history in a machine-readable format suitable for transfer to another service or for your own records.

Right to Object

Object to any data processing activity where you believe we are processing your data beyond the scope of what you consented to when creating your account.
